Moving a 500-employee regional organization off of paper.

A lot of the work still lived on paper, which made speed, consistency, and visibility harder than they needed to be. We mapped the move in phases and helped shift the operation into a digital system that saved more than $350K a year.

The Challenge

A $25M regional human services organization with 500 employees was running entirely on paper processes and institutional memory. No HR system. No operational tooling. No shared technology infrastructure. Leadership couldn't measure performance, manage growth, or hold the organization accountable at scale. They knew something had to change. They just didn't know where to start.

The Solution

    Audit and strategy. Started with questions, not recommendations. Mapped where the organization was losing time, money, and capacity, then built a phased roadmap around what needed to happen first.

    People infrastructure. Helped choose and roll out an HR system (Paycom) for all 500 employees. Onboarding, payroll, performance management, and compliance tracking were standardized for the first time, with change management built in from day one.

    Operational systems. Put every team on one shared system (Monday.com) so work was visible and who-owned-what was clear. AI automations cut manual reporting and kept data current without extra effort from the team.

    Customer experience. Set up Zendesk to bring structure and clarity to customer-facing work. Processes were redesigned before the system went live. Response times dropped and issues were tracked to resolution.

    Brand and digital. The organization's external presence was rebuilt to reflect what they had become: a professional, scalable operation with the infrastructure to back it up.
